Claude spreadsheets that keep calculating when the inputs change

The number in a cell is not the calculation rule. A materials example shows formulas, inputs, rounding and an independent check calculation.

Lena uses threads to connect three boxes of screws to a collecting bowl; one box is firmly screwed shut. AI illustration.

The correct grand total is at the bottom. Even so, the spreadsheet can fail as a working tool: you increase a quantity and the final amount stays the same. The file may then contain hard-coded results instead of a traceable calculation. At first, its appearance hides this difference.

Anthropic’s xlsx skill requires formulas for calculated results and visible assumptions. It also distinguishes between reading formulas and reading stored values. From these basics, a manageable materials example of your own can be developed without automating a complete financial plan.

Which fields are entered, and which are derived from them?

Our fictional workshop list has five materials. Each row contains a description, quantity, unit and unit price. The line total is derived from quantity and unit price; the grand total adds up the line totals. Label the input fields so that a second person can also understand what they mean.

“Price 3” is not enough. Three euros per piece and three euros per pack represent different relationships. If a pack contains several pieces, someone has to decide whether to order by the piece or by the pack. No arbitrary multiplication formula can replace this substantive clarification.

A: Material | B: Quantity | C: Unit | D: Unit price | E: Line total
E2: =B2*D2
E7: =SUM(E2:E6)

The formulas illustrate exactly this structure. Function names and display may be localised differently in spreadsheet applications. What matters is the relationship between the cells, not blindly copying an expression into a range with a different structure.

Giving the AI a delivery brief it can follow

Provide the five source rows and ask for editable inputs, formulas and a note on open assumptions. Also ask for a short explanation of the sum range. Then someone can later judge whether a new row is included in the grand total.

Create an editable materials calculation from these details.
Separate inputs from calculated fields.
Calculate line totals and the grand total with formulas.
Mark assumed prices and unclear units.
Document when rounding is applied.
Do not invent missing purchase prices.

This is an example assignment of our own. It contains no tax logic and no promise that a nicely formatted file will automatically be factually correct as a result. The decisive relationships remain small enough for you to follow them yourself.

Recalculating a single change independently

Choose a row with ten pieces at three euros each. Arithmetically, its line total is thirty euros. If you increase it to twelve pieces, it comes to thirty-six euros. These figures follow from the freely chosen example; they are not the result of a model test that was carried out.

Open the file in the intended spreadsheet application and have it recalculate. Then look at both the formula and the visible value. A stored value can reflect an older state. Conversely, the mere existence of a formula does not yet mean that its references fit the task.

Add a sixth materials row. In this layout, the existing range E2 to E6 does not automatically include it as a mathematical statement. How your particular application inserts rows and adjusts references is something you need to check in the actual document. That is exactly why this step tells you more than an unchanged preview.

Also check whether empty input fields remain distinguishable from a deliberately entered zero. The two can mean different things in practice.

Keeping rounding and open assumptions visible

Decide whether each line total is rounded or only a later result. Different rules can lead to different totals. Note the rule you chose and use it in your independent check calculation as well.

A reliable working state explains which values were entered, which are provisional and which are calculated. Keep the original version and label changed price levels. That way, the spreadsheet remains maintainable. For this example, no file was created, and neither its recalculation nor its format compatibility was tested.
