One ChatGPT project, three conversations: how to keep a task easy to follow

A project creates context, but not automatically an unambiguous state of knowledge. Three separate results and a small source contract keep the work easy to follow.

You are looking for the confirmed number of participants and first come across three discarded ideas, an old draft and an estimate that was later corrected. Long chats can be rich in context and still be hard to read as a current working state. A good project structure therefore answers a practical question: where does each kind of result belong?

ChatGPT projects bring related conversations, files and instructions together. Project instructions apply in the chats that belong to the project. That is a shared framework, not a guarantee that every later clarification will automatically be taken into account unambiguously everywhere. An example of our own makes the difference between context and a binding state visible.

Name the project after its purpose

A small museum is preparing an open workshop afternoon. It has a confirmed outline list and a collection of ideas. “Workshop afternoon organisation” describes the context. A name such as “Finished event plan”, on the other hand, would already claim a stage of work that the material has not yet reached.

The project instruction names the target audience, the desired results and the most important rule: confirmed details are kept separate from ideas. Add that missing decisions should appear as open questions. That also gives a later conversation a working framework it can follow.

Purpose: internal organisational status for the workshop afternoon.
The explicitly named source versions are authoritative.
Treat confirmed details and suggestions separately.
Do not invent dates, responsibilities or commitments.
Each chat delivers a clearly named result.

Three chats with three different outputs

The first chat is called “Outline and gaps”. It reads the documents and lists confirmed details as well as open decisions. The second is called “Cross-check evidence”. It checks disputed statements specifically and supplies the passages that support them. The third produces the “Working file for helpers” from the state that has been confirmed by then.

The split follows the result, not the length of the conversation. You do not open a new chat simply because the previous one has become long. Rather, a clear type of output helps you return to the right piece of work: clarifying a question, checking a statement or drafting a document.

Give the cross-checking chat the relevant statements and sources explicitly. Its answer should be more than an alternative wording. For the room approval, it needs the passage where that approval is actually confirmed or still made subject to a condition.

Keep a small source contract

A short working note can contain four fields: detail, status, source and as-of date. “20 places, confirmed, outline list of 12 October” is different from “about 20 guests, idea from the meeting”. These differences should be preserved all the way into the helpers’ document.

When a new file replaces an old one, write exactly that alongside it. Two similar attachments do not explain their order of precedence on their own. A replacement rule such as “Outline list B replaces the date given in A; all other points remain unchanged” is more helpful than uploading yet another version without comment.

Context is not access to every folder

A project with uploaded sources does not automatically have access to a folder on a local computer. Conversation context, an explicitly provided file and an actual route for accessing files are different things. A task should refer to sources that are available in its environment.

A connection to another system would likewise be a separate set-up with its own permissions. It does not come about simply because the name of the system appears in the project. This example does not need such a connection: the task consists of working clearly with the documents provided.

Read the final version against the current state

Check the working file with the short outline list next to it. Are discarded ideas still included as tasks? Has a new restriction been lost? Can a helper tell which date is confirmed without reading all three chats?

The structure described here is a working method of our own; no test project was set up for it. Its value lies in clear results and traceable sources. Three sensibly named chats may be enough for that. Further conversations should only be added when they serve an additional, recognisable purpose.
